Importing future students brings next year’s incoming students into TrackEd ahead of the new school year, so you can build class lists and review data before they arrive. It now runs as part of the standard Student Summary import, so there is no separate process to set up for most year levels.

How importing future students works
When you are getting ready for a new school year, you want next year’s students in TrackEd early so you can prepare class lists and review their data before they arrive. Importing future students is now built into the standard Student Summary import, so it works by default, with no separate import to run for most year levels.
When you save your data out of OneSchool, you include the future students alongside your active ones. TrackEd then applies those students to their new year levels and sorts the prep and Year 7 intakes into their own cohorts as the file imports. This usually happens as part of your start of new year rollover.
Saving futures and active from OneSchool
The one thing to get right is how you save the report in OneSchool. Normally you save only active students. To bring in future students as well, choose both futures and active when you save, so they all land in the same Student Summary file.
On the Import page, run the Student Summary import as you normally would and drop in that single file. The only difference from a standard import is that the file now holds your future students alongside your current ones, and TrackEd creates the extra futures cohorts as it imports.
How prep and Year 7 futures are handled
TrackEd gives the incoming prep and Year 7 groups special handling so they do not mix with your current students. Future prep students go into a separate cohort named for the year, such as 2026.FP (futures prep) and incoming year 6s as 2026.F6, which keeps them apart from your current prep and year 7 cohorts. For a P-12 college, this keeps the incoming group separate from your existing Year 6 cohort. The Year 7 case has its own walkthrough in Year 7 Futures.
