Accessing senior school searches

All senior schooling searches are located in the Find menu on the Profile page. Click the pink Find button to open the panel. The senior-specific options are grouped together and marked with a purple bar to distinguish them from general searches. For background on using the Find menu, see Finding a group of students.

Each search is a one-click action. After running a search, you are returned to the Profile page with the matching students loaded. You can then skip through them using the navigation arrows to review their data individually.

QCE eligibility searches

Several searches target QCE eligibility requirements. The No Numeracy and No Literacy searches find students missing those flags. Missing Core finds students who do not yet have at least 12 core points. Failing QCAA combines these checks and also excludes any students marked with a QCAA flag (such as QCIA).

The QCAA List search returns students where you have manually added a QCAA flag. This flag is set on the Extras tab in the student profile. A Non-QCAA List search is also available to return the inverse group. These flags and searches rely on imported senior school data being up to date.

Notes and manual flag searches

Three searches return students based on manual notes entered in TrackEd: Distance Ed, SAT Notes, and Offsite Notes. These find any students where you have typed content into those specific notes fields on the student profile.

VET searches

The VET Cert List search finds any student with at least one qualification listed in their VET area. The Duplicate VET search looks for duplicate competency codes across a student’s VET qualifications. Duplicates are highlighted in red, making them easy to spot.

With the QCAA VET import, all competency codes are listed together, so this search is a useful way to locate duplication. Once identified, you can remove the extra points on the List view using the “Other Points” option by entering a minus value. For more on editing senior data, see Senior School data management tools.

The ATAR Eligible search checks whether each student has the correct combination of courses for ATAR eligibility: five General subjects, or four General subjects plus one Applied subject or one VET Certificate III or higher. This calculation is based on the student’s timetable and VET import data.

You can search for ATAR Eligible (yes) or ATAR Eligible (no). Once you have loaded either group, you can draw a datawall for that specific set of students. For example, you could create one datawall for your ATAR-eligible students and a separate one for those who are not eligible.

The Unit Progress search looks for dropped units (unsatisfactory results) across Units 1 through 4. You can search within a specific unit or cumulatively across all units, and set a threshold for how many unsatisfactory results to look for (e.g. at least one). You can also include N results and monitor flags in the search.

Results are displayed as one row per subject where at least one point was dropped. By default, results are sorted by student, showing all affected subjects for each student together. You can change the sort order to view by staff, by subject, or by subject and staff. This gives you visibility across class groupings and teachers.

All Unit Progress results can be exported to Excel. You can also update the monitor flag directly from this view. If a student has a satisfactory result but you are concerned about their progress, mark them as “monitor” and run a search for monitored students separately.

IA Cumulative Percent report

The IA Cumulative Percent search looks at IA scores specifically in Units 3 and 4. You can search within a percentage range (e.g. 0 to 100) and filter by subject. Click the “Show All” button at the top right to load all common options onto the page at once.

The results show each student with all of their subjects and IA percentages listed. As with Unit Progress, you can change the sort order to view by staff, subject, or subject and staff. The Subject Cumulative Percent sort option ranks students from highest to lowest score within each subject area, giving you real-time subject leaders as IA data is imported over time.

Both the Unit Progress and IA Cumulative Percent results can be exported to Excel or saved as a PDF. Although they produce detailed reports, both are accessed through the Find menu rather than the Reports menu. For visual representations of senior data, see Visualising Senior School data.
