Once your senior schooling data is imported into TrackEd, there are several ways to view it — from individual student profiles through to list views and datawalls. This article covers the main profile configurations, list views, and datawall options for Year 11 and Year 12 cohorts.

Configuring the Student Profile

On the Profile page, you can choose which sections display for each student. For senior schooling, a recommended setup is: the 11 and 12 timetable section at the top, the Senior Schooling section (showing unit and IA data) below that, and the VET QCE Estimated and Awarded section fourth. This last option shows estimated and awarded VET points side by side, making it easy to compare at a glance.

The profile also includes a monitor flag (a small “M” next to a satisfactory result) and a reset flag. The monitor flag marks results you want to keep an eye on. The reset flag records where a student received an unsatisfactory result but later passed a reset exam to meet the requirements. Both flags can be set on the Profile page or in the Subject List Utility report. For more on editing these values, see Senior School data management tools.

Awarded vs Estimated VET Toggle

The profile includes an Awarded and Estimated toggle for VET points. When set to Awarded, only confirmed VET points count toward the QCE total. When set to Estimated, the estimated points (defaulting to 100% completion) are used instead. Whichever option you select flows through to every view in TrackEd — profiles, list views, and datawalls all reflect the same toggle setting.

Emailing Teachers from the Profile

If you spot a concern on a student’s profile, you can click the email button next to the relevant teacher’s name. TrackEd attaches the student’s profile to the email, pre-fills the teacher’s address, and lets you type a message before sending. This is a quick way to start a conversation about a specific student’s data. For more on TrackEd’s email options, see Email functionality.

Two-Page Profile

The purple menu area on the Profile page includes a two-page profile option. The first page has the same configurable sections as the standard profile, but the second page adds more detail.

A recommended setup for the first page is: Senior Schooling at the top, Task Progress in the middle, and VET Progress at the bottom. Task Progress shows a visual bar chart of each subject’s assessment progress in Year 12. The green bar represents points accrued, the grey area represents points missed, and the white space is yet to be assessed. A percentage and points total sit alongside each bar.

VET Progress works the same way. Dark purple shows awarded points, light purple shows estimated points, and white space indicates competencies not estimated for completion. The Awarded and Estimated toggle still controls what contributes to the QCE total.

Task Assessment Detail

On the second page of the two-page profile, you can select the Task Assessment view. This displays all subjects, criteria scores, individual tasks, and the total points available. It shows how far through their assessment each student has progressed, subject by subject. This is useful for arming students with information about what is coming up, how they are tracking, and which teachers to speak to about specific areas.

The VET tab appears at the bottom of the second page, again with the Awarded and Estimated toggle. If you PDF or PDF Bundle the two-page profile, you can print it, save it, or distribute it via SharePoint.

Task Assessment Profile (One Page)

If you only need the task assessment breakdown without the full two-page layout, the Task Assessment profile is a standalone one-page option. It is found in the purple menu area on the Profile page. There are several variations available, including one with VET information, one that spans two pages with up to six subjects, and one with boxes for feedback and areas to improve.

VET Competencies Profile

The VET Competencies view (also in the purple menu) lists every competency imported via the Student VET QCAA import. It shows the qualification ID, competency ID, percentage complete, start and end dates, and result status. Achieved and passed competencies are highlighted. You can click through individual students to review competency-level progress.

This view also includes fields for recording VET duplication. If a competency code appears in more than one qualification, you can enter minus points in the estimated QCE section. The core and total fields are separate, and the minus value is subtracted from the total. Notes fields are available for distance education, SAT, offsite, and general or internal notes.

Finding Duplicate VET Competencies

To find students with duplicate VET competency codes, use the Find Duplicate Competencies search from the Find menu on the Profile page (or choose it directly from the VET Competencies view). Any duplicated codes are highlighted in red, making them easier to spot. You can then record the duplication as a minus value in the estimated QCE section. List Views for Year 11 and Year 12

On the List page, clicking the list button a second time shows a menu of available list views. Senior Units 1&2 is designed for Year 11 students. It shows student information, subject contribution, VET contribution, and other QCE components. You can enter duplication minus points directly on this view. The VET section includes the Awarded and Estimated toggle, and the QCE and core totals update accordingly.

The estimated ATAR column is populated by a QIS import or an ATAR Active import, depending on which third-party ATAR estimate your school uses. Literacy and numeracy flags appear in red if the student has not met that component. Subject grades are shown with unit scores, and unsatisfactory results or monitored satisfactory results are highlighted. A trend indicator and the latest OneSchool result appear alongside.

Senior Units 3&4 has a similar layout but is tailored for Year 12 students. It includes IA scores and progress over time, making it the better choice for monitoring Year 12 cohorts.

The QCAA Enrolment list is also helpful for crosschecking new enrolments with QCAA and monitoring the QCIA flag and AIC dates.

Notes and OneSchool Contacts

Both list views include a notes box. Type a note, and TrackEd records it against the student. You can also push that note directly to OneSchool as a contact: TrackEd copies the note to your clipboard and opens the OneSchool contacts page for that student. You then paste the note in, and the record exists in both systems.

ATAR Eligibility Working

The list views also display the working behind ATAR eligibility. Columns show the literacy tick, general subject count, applied subject count, VET count, eligible courses count, and whether the student is ATAR eligible. The literacy flag is ignored until the student has a Year 11 English result, so it will not appear as a concern before that point.

Creating Senior School Datawalls

You can create a datawall from any found set of students. For example, run the ATAR Eligible search from the Find menu, sort the results into roll class groups, then click the Datawall button. Choose 5 per page and select the data columns you want: results, units, VET, and QCE. TrackEd builds a datawall sorted by roll class with A-to-E grades, unit scores, QCE estimates, IA progress with cumulative percentages, and up to four VET lines per student. Datawall Layout Options

A 3 per page layout gives you fewer students per page but more room per student. One option includes an internal notes box on the page, plus the ability to add a note and raise a OneSchool contact directly from the datawall. Another option moves the VET section to the bottom of the card, freeing up extra rows for subject data. This helps when students have had subject changes, as more rows are visible. You also get more rows for VET entries in this layout.

The 5 per page layout includes a notes area that does not print but is available on screen. Both layouts support the Awarded and Estimated toggle for VET points.
