IMPORTANT This is quite possibly the biggest single release that we have ever done, including some significant user interface updates with new features and improved functionality. Please read on for more specific details and we hope you enjoy. Please also see the new video with this release that showcases the new design changes. Note that the video training series will be updated in the coming months to match the latest release
See a quick overview video of all the new additions in v3.549!!!ADDED ALL NEW Profile page interface redesign with an all new ‘saved profile combinations’ section. The saved combos feature enables your school to save and name all the profile options that you use regularly for greater simplicity and consistency. We have preset some options and you can manage your own school combinations going forward. The redesign adds the extra space necessary for this feature and also makes the profile page less intimidating as the display options for each profile slice are now one click away
ADDED ALL NEW Reports menu redesign, organising reports into categories and sorting them alphabetically to make them easier to locate. We also added a favourites system so that you can star the reports that you use regularly. This is similar to the recent list selection menu changes that we made in the previous release
ADDED ALL NEW ‘other reports’ option on the home page, enabling any report option to be run without first going to the profile page. Note reports run this way are one cohort at a time
ADDED ALL NEW Datawall options card window adding a new ‘saved datawall options’ menu. This lets you save and name specific datawall combinations that you use regularly. Again, we hope this makes datawalls easier to run and allows for greater consistency across your school
ADDED ALL NEW Profile options including Absences & behaviour by day, Support & engagement, Attendance 0-100, Behaviour Incidents Negative, Behaviour Incidents Positive, Bandscales Historical and Wellbeing Monitoring. Some these are all new, and some are existing ones that were split into two, allowing you to save them in a saved combination. We hope the new options let you better create the combinations of data that you need on a student profile
ADDED Added a list view called ‘GPA Trend, Attendance & behaviour’, which is a combination of two other list views that we took away in the previous release
UPDATED The ‘TrackEd_Photos.fmp12’ database file is now no longer needed. We moved the photos into the main ‘TrackEd.fmp12’ database file and built an update process to move your photos into the new place. This will make it simpler configuring a server and also using an offline copy with the photos included. As we now only save thumbnails of the photos there will be a minimal import on the file size
UPDATED The PDF Bundling ‘staff sharepoint’ feature has been rebadged as ’Staff Folders’ throughout the system. This is a more accurate name for what the feature does and we hope this makes the feature more approachable without the association with sharepoint. The selection options have also been simplified for greater clarity and a sharepoint sync can still be configured as an optional extra step
UPDATED The Staff Folders feature now saves a default path per user, so you can have many people all using the feature at your school. Previously it would save one default path and it would need to be reset each time for multiple people
UPDATED Please note that some profile options and report options have been renamed to better accommodate alphabetical sort orders
Changed the list favourites icon to a star rather than a heart. This new icon is used consistently across the favourite lists, alternative profiles, and reports
UPDATED With the addition of the new ‘Wellbeing monitoring’ profile option we have redesigned the email restrictions automation rules. Previously if an internal note was showing on a profile the bulk email button was disabled entirely. Now if an internal note, the new wellbeing monitoring section or specific staff only alternate profiles are showing it will hide the student and parent email options specifically. This more targeted approach will help as we add new features going forward
UPDATED Restricted access to the new Wellbeing monitoring section so it is not visible with a ‘Restricted Tier 2’ account
UPDATED The Wellbeing monitoring list view now shows student photos when using the ‘extended’ view option
UPDATED 9 per page datawalls now support an A3 option with extra space for notes

ADDED All new list selection menu sorted by category then alphabetically. As usual the list selection is available on the list page by clicking list again, or by clicking the title of the currently selected list. To help you find your regular lists we added a favourites system, allowing you to heart the lists that are used regularly at your school. With over 40 list views now in TrackEd we think this is much clearer and easier to work with
ADDED All new list view called ‘Absence & Behaviour by Day’ showing absence and behaviour totals for each day of the week for each student. The colour codes help you to see specific absence or behaviour patterns for each student
ADDED All new list view called ‘GPA, EPA & BPA trend’ showing long term trends from Prep to year 12

ADDED Added interactive PDF options to the 9 per page datawall, allowing for text boxes and OneSchool links from the datawall PDF

UPDATED The standard list view now includes sortable columns for ATSI, DDA, ICP, Cust, OOHC, EALD and they are included in the export
UPDATED Some of the list views have been renamed to be more logical with the new alphabetical sort order introduced with this release
UPDATED The list added in v3.546 called ‘GPA, Att & Beh trends’ was removed as it is now split into two new list views as above
UPDATED The subject offering results import has been improved to add historic subject changes if that subject line is not already present. Previously these lines would be listed as a warning during the import
UPDATED The saved searches page now has an option to show only searches saved by you
UPDATED The QCE Bands column now includes an extra band from 16-17 between the updated 0-15 and 18-19 options. This will be included as an extra group on ProgressTracker reports when QCE band is used
UPDATED Added a utility option to tidy up VET qualification settings with no Max points set. This may assist if an incorrect VET import was done previously adding unnecessary Qualification IDs to the settings area
UPDATED Added a utility option to reset YTD attendance values for all students. This may be helpful if you had a warning during import for locked student records
FIXED Rolled back recent changes to the Absence List import for “B” codes “attendance not required” as these were giving unexpected results in some cases. We will work to add the changes again with the necessary fixes in place
FIXED The ‘Unit Results QCAA’ import now always flags imported subjects as year 11/12 to show in senior displays
FIXED Extra fixes to remove student summary file lines with an incomplete student ID during import
FIXED Extra fixes for the starting week setting on attendance and behaviour list views
IMPORTANT Fixes applied for the Student VET QCAA import after some recent csv format changes by the QCAA. Our usual heading check did not pick up the change as the headers remained the same but the data moved columns. We recommend an update for all schools using this senior school import
ADDED All New “Saved Search” options on the find panel. This is a stage one release and we may make some further features available based on feedback. Try setting up a find panel search and use the new ‘save this search’ button to keep the currently selected options. Use the ‘saved searches’ button to recall any saved search in the future
ADDED New utility option to clear imported markbook data
FIXED Fix applied to markbook import to prevent short subject names from importing
FIXED Improved label formatting on the Markbook alternative profile
ADDED All new interactive PDF options for regular A4 student profiles. When saving a PDF or PDF bundles you can now specify if you want to add editable text boxes to the PDFs. Sections like notes, goals & strategies will then be type-able in the PDF. There is also an option to add an email admin button that will email the edited PDF to a set email address. Two important considerations with interactive PDFS are that they take longer to save than regular PDFs and the notes are not printable by default. To print notes on an interactive PDF you must save it as a picture first
ADDED Added interactive PDF options to the bulk email to teachers. We have not enabled interactive PDFs for emails to students and parents, and may or may not yet do this
ADDED All new list view called ‘GPA, Att & Beh trends’. This shows GPA, BPA & EPA for all terms from 7-12, then year, term and 10 weeks of data for both attendance and behaviour. We’ve been dreaming this one up for a while so I hope you like it

ADDED All new senior schooling import called ‘Subject Offering Results’. This import format includes Unit 1, Unit 2, IA1, IA2 and IA3 totals from QCAA for all general and all applied subjects in two files for each cohort. This should dramatically speed up the process of importing unit and IA totals from QCAA. The first time this imports please ensure that your OneSchool subject codes match the expected codes. The import will show when codes need to be edited on the ‘Settings > ATAR Subjects List’ page. Also note that the IA totals are imported but not the criteria level data. If you still want this you would need to also import the ‘IA Task Assessment’ data
ADDED All new Academic Integrity Completion (AIC) import from QCAA to support monitoring for the new QCE requirement. The date has been added to the list view called “QCAA Enrolment” and the extras tab on the profile page
ADDED New find option in the pink find menu for “No AIC” to find those without a completion date
ADDED Added a new Classmat data option called ‘Survey Text’. This will show the first 20 characters of responses for up to 10 questions. It will be helpful for very short answer surveys

ADDED Added new DDA toggle to the simple list (right edge) and profile page (bottom right) to show the DDA PL Level and category. This will default off each time you restart TrackEd, but can be toggled on when needed
UPDATED The ATAR Subject List has been cleaned up so there are now only one entry per Syllabus document on QCAA. This means many old codes from the OP days have been removed and subject names should match the QCAA names exactly. Please review this page in settings to ensure that your OneSchool codes are present for any subjects that you offer. This will be needed for the new Subject Offering Results import
UPDATED Reformatting of the ‘Settings > ATAR Subject List’ page with new sort orders, colours for learning type and support for up to 4 OneSchool codes per subject
UPDATED Reformatting to the ‘Settings > Utilities’ page, adding a splash of colour and grouping the options by type

UPDATED Updated the two page profile ‘Task Assessment’ page two option to support up to 8 subjects. This will support accelerated students who then do an extension subject in year 12
UPDATED Class List components are now optional, so you can omit OneSchool links or email buttons as needed. This may also help in debugging if you experience issues saving class lists or cover pages
FIXED A fix applied for weekly behaviour trends

FIXED Fix for some profile report buttons closing the current window
FIXED Various formatting fixes for windows PCs
UPDATED We’ve completed a huge project to enable more imports to run server side enabling a much faster import process and reducing the chances of a network disconnect while imports are processing. Student Summary, Dynamic Student List, Primary Results, Secondary Results, Results Template and Coaching note imports are all now server side enabled. This means that the entire ‘frequent’ list can be run server side so you dont need to wait for imports to complete. To try this feature, the setting option ‘send imports to server when possible’ needs to be checked
UPDATED Subject details SETP is now added to the new import system. The imports are now complete with only older and depreciated features remaining in the old import system only
UPDATED Added a refresh button to the home page to refresh the cohort list and absence and behaviour year and week range settings. This is helpful if you are running new imports on the server that add or update a cohort to a new year or week range
UPDATED The ‘Settings > utilities > Unit 3&4 Est Calc’ option now lets you set any year 11 or 12 term into the unit 3&4 section of the senior schooling area. This lets you use OneSchool A-E results to help with forward projections in unit 3&4 results

UPDATED Results cleanup utility now includes cohort selections for more targeted results removal after an import mistake
FIXED Fixes applied to new A-E Results Summary report – Effort and Behaviour option
FIXED Many small fixes and improvements throughout
ADDED All new export option called ‘Student List Shortcut’. When clicked it asks for a file name and saves a shortcut file to the docs folder that. When that file is later clicked it will open TrackEd, to the same list of students in the same order. This is super helpful for storing lists of students from TrackEd without needing to add a tag or manually run an ID search. That way you can keep your tag list for things that all staff would like to see and monitor and use the ‘Student List Shortcut’ export for lists of students that you manage yourself that others do not need to see
ADDED All new find panel option called ‘Excel File Drop’. This lets you drop in any Excel file with the EQ ID in column A, and the find panel will return any students matching the IDs in that file as the found set. This is like a faster ‘ID search’ as you do not need to copy and paste the IDs to run the search
ADDED New account privilege options of ‘restricted tier 1’ and ‘restricted tier 2’ between restricted and data entry no imports. These allow for more granular control over access in TrackEd. Also updated the settings area to a matrix to show what each access level can do. To change an existing user you do need to delete the account and add it again
ADDED All new Effort and Behaviour Summary report. The A-E Results Summary report now has a button called ‘show effort and behaviour’. This opens a new report that shows Effort and Behaviour percentages by level (eg EX, VG, S, U and NA) across the same class groupings as the A-E Results. This data is unique to our knowledge and we are interested in your thoughts on the new report option!
UPDATED Renamed the export option previously called “Student Name List Data“ to be called “Student List Excel”. Also updated the export to ask for a file name as it saves, similar to the new shortcut option. These are a great way to save a labelled excel file quickly and be able to run a find with the new ‘excel file drop’ feature above
UPDATED Added a new class list report option to the Class Builder called ‘less detail’. This one drops NAPLAN and learning support data and is very well suited to lower primary classes
UPDATED The Dynamic Student List import will no longer add new students to TrackEd. The only import that adds new students is now the Student Summary. This gives multi-campus schools the flexibility to only import the cohorts that they need and allows the dynamic student list to be imported in one file for the whole school with other cohorts to be ignored during import
UPDATED The Dynamic Student List import will only update the LUI if there is a new LUI in the import file. This will prevent blank LUIs overwriting a LUI that was manually entered on each import
UPDATED Allowed manual over-rides for FIA task results in units 1&2. Previously this only worked on IA results in unit 3&4
UPDATED Improved the new ‘Bandscales History’ view on the profile and two page profile

ADDED All new ‘Bandscales & Tracking Progress’ list view, showing up to 8 different tracking templates or template fields over 3 semesters. There is a new settings area called ‘Tracking Progress’ to set default options by year level range so the list will open with your settings by default. This is great for schools extensively using the Tracking Template section for diagnostic imports
ADDED All new ‘Bandscales’ list view showing just the band scale component as a list, based on the ‘bandscales’ import added last release
ADDED All new ‘Historical Bandscales’ import and profile display. This is in addition to the bandscales import added last version. You can use either or both depending on your needs

UPDATED Added Smartwall search buttons to find multiple bands at once eg Green and Yellow, or Yellow and Red
UPDATED The default option on the Absence profile now hides any ‘no penalty’ codes. These can be turned back on with a new interface for selecting what absences will show
UPDATED Added the FileMaker Pro version number to the user log on the settings page. This is to help techs with client backwards compatibility as they update servers to the latest release
FIXED Fixed an issue that caused the TrackEd logo to disappear for some
